Progression:
The new Personal Development Record, has a list of all the training events in FBS that PhD students have attended. This PDR allows all academics to see the students that they are responsible for either as supervisors, co-supervisors, mentors or assessors. This site also contains a link to the training questionnaire that we ask all students to complete in the first month of their PhD, and to regularly revisit during the course of their PhD to see how they are progressing. Monthly Reports
Monthly reports will now be submitted on-line, and not using the existing paper exercise. A detailed guide on how the systems work for Supervisors is available but basically this is how the system will work:
Each month each student is expected to submit a monthly report, with a minimum requirement of 10 reports per year. The student must start to complete a report for each month even if they do not manage to submit it by the end of the month. If the report is not in progress by the end of the month, then the student will not be able to submit a report for that month. The on-line report form is more or less identical to the paper form currently in use.
Once the report is completed by the student, the student will then submit the report for signing by their supervisor. This will normally be the main supervisor. However, if the main supervisor is away, then the student can choose to send their report to their co-supervisor for sign-off. When the report is submitted, an e-mail will be sent to the supervisor automatically to alert them that a report has been submitted, that a meeting needs to be arranged (if it has not already been done) and that the report needs signing off. Importantly, before sign-off by the supervisor, the student is expected to have a meeting with their main and/or co-supervisor as usual. The on-line report can be printed and written on at the meeting and then scanned in as a record if the supervisor prefers (see below). However, the supervisor will still need to sign off the report electronically. At this point, the report will be returned to the student for any final comments, before a final submission to the graduate office.
Once the report is first submitted by the student, all supervisors will be able to see the report and print it for their own records if required.
Reports can be written on and scanned in by the student, however there will be a maximum file size for upload of 4 MB. To make sure that any uploaded documents are below this size any scans should be in jpeg format at 150dpi, or as PDF files, that have been adjusted to give the minimum file size.

VITAE - RESOURCES :
VITAE is a national organization championing the personal, professional and career development of doctoral researchers and research staff in higher education institutions and research institutes. The UK GRAD program has been incorporated into VITAE, and it's worth noting that the organization provides support for Post Docs and Research active staff now not just PhD students.
Please encourage your students to go on a grad school (either VITAE , if they are research council, or Welcome Trust funded, or White Rose).

Procedures for Submitting Applications for Funding which include a PhD Studentship
As you may be aware the level of support by the BBSRC has significantly reduced for the 2009-2011 intakes and it is imperative that all opportunities for additional sources of funding are explored and where possible applications made. To ensure that these applications are processed correctly please review the procedures below. In particular, it is essential that your application is signed off by either the Pro-dean for Research (via the Research Support Office) or the Director of Graduate School (via the Graduate School Office).
Who will deal with my Application?
If you are submitting an application to a funding body which includes a PhD studentship, or is for a PhD studentship, it is the nature of the funding that determines whether the application is dealt with by the Research Support Office or the Graduate School Office. Generally, applications for studentships that fund only student fees, stipend and/or minimal research expenses are dealt with by the Graduate School, and applications that also include research expenses beyond the research council standard rate of £1k/annum are the responsibility of the Research Support Office.
Applications processed by Research Support Office (Expenses>£1k)
Applications that can include research expenses at levels above the Research Council standard rate (of £1000) should be submitted to the Research Support Office and fEC will be applied to the application. A copy of the final application should also be submitted to the Graduate School Office for information and copies of the outcome of the application should also be forwarded to the Graduate School Office. Where an application has been successful a meeting with the appropriate Admissions Tutor will take place to discuss the recruitment of a suitable candidate for the Studentship.
Applications processed by Graduate School Office (Expenses ≤ £1k)
Applications where research expenses are only paid at the Research Council rate of £1k or lower will need final authorisation by the Graduate School Director. Principal Investigators should notify the Graduate School Office (Karin Tobiasson) as early as possible of their intention to submit an application and requests for completion rates, training information and funding levels (academic fees & stipends) should be made at this stage. Final applications should then be submitted to the Graduate School one week prior to the application closing date. For applications where the Head of School signature is required the Graduate School Director will act as the signatory. For those applications where a HoS signature is not required the applications must still be reviewed by the Graduate School Director. Final copies of the applications will be held by the Graduate School Office and copies of the outcome of the application should also be forwarded to the Graduate School Office. Where an application has been successful, a meeting with the appropriate Admissions Tutor will take place to discuss the recruitment of a suitable candidate for the Studentship.
